Business Systems & Automation

The work you do every single week? A system should be doing it.

Daily sales posting. Invoice runs. The same report, assembled the same way, every month. If you can describe the steps, I can usually build a small, reliable system that does them for you — the same way I built the ones that run my own practice.

I don't resell software. I build working systems — and I run my own practice on them.

  • A reconciliation pipeline that traces every client deposit from sale → clearing account → bank, monthly, to the penny
  • A dozen automated anomaly checks that run on every client's books — deposit gaps, fee drift, balances trending wrong
  • Daily sales posting that moves platform data into QuickBooks without a human touching it

That's not a brochure promise; it's how my clients' books get done every month. Yours can run the same way.

What qualifies for automation

Not everything should be automated — here's how I tell

Honest expectations matter more than the software. Sometimes the answer is "a $20 tool already does this; don't pay me to rebuild it."

Good candidates

Anything repetitive, rule-based, and done more than weekly — data moving between systems, report assembly, file filing/renaming, invoice generation, payment matching.

Bad candidates

Judgment calls, one-offs, anything that changes every time. I'll tell you honestly which is which before quoting a thing.

How it works

From idea to working system

1

Free 15-minute call

Describe the chore; I'll tell you whether it's automatable and roughly what it'd take.

2

Scope & fixed quote

What the system will do, what it won't, what it costs. You approve before anything is built.

3

Build & prove

Built against your real data, tested side-by-side with the manual process until it's trusted.

4

You own it

Documented, running on your accounts, no subscription to me required. Maintenance available if you want it.

Straight answers on cost

Project-scoped, fixed before building starts

Small automations
Start in the hundreds
Single repeatable task — a daily sales post, a report assembled from two spreadsheets, a renaming convention applied to incoming files.
Multi-step systems
Quoted individually
Anything that moves data between platforms, generates monthly reports, or replaces a regular chore.
Consulting / discovery
$150 / hour
When you're not sure what you need yet — we figure it out together first, then scope a fixed quote.

Always a fixed quote before building starts. No open-ended meters, no scope creep.

Fair questions

FAQ

Is this "AI"?

Where it genuinely helps. Most reliable automation is simpler than that — and cheaper. I use the right tool, not the fashionable one.

What if it breaks?

Systems are documented and built to fail loudly, not silently. Maintenance arrangements available if you want one.

Do I need to be a bookkeeping client?

No — automation is a standalone service. Though the combination is where the magic is.

What's a real example?

A multi-location food business's daily Square sales used to be posted to QuickBooks by hand. Now it happens automatically, every day, with a monthly reconciliation proving every dollar landed.

The next step

Describe the chore. I'll tell you if a system can do it.

Fifteen minutes is plenty to know whether your chore is automatable, what it'd cost, and whether the math works.
